How ScalerHire collects, uses and protects personal data for employers, candidates and website visitors.

Effective date: 19 October 2026

Introduction

ScalerHire is a product of Welkdock Technologies (“we”, “us”, “our”). This Privacy Policy explains how we collect, use, share and protect personal data when you visit our website, create an account, purchase a plan, or take part in a hiring process run on ScalerHire.

This policy applies to employers and their team members (“Customers”), job applicants who are invited to an assessment (“Candidates”), and visitors to our website, including users of the free ATS checker.

Our role

For Customer accounts, billing and our website, we decide how and why personal data is processed and act as the data fiduciary (or controller).

When a Customer uses ScalerHire to assess Candidates, the Customer decides the purpose of that processing and is the data fiduciary for Candidate data. We process Candidate data on the Customer’s behalf and in line with their instructions. Candidates who wish to exercise their rights may contact the employer directly or write to us, and we will assist the employer in responding.

Information we collect

Customers

  • Account details received from Google Sign-In, namely your name, email address and a Google account identifier. We do not receive your Google password.
  • Company details you provide, such as company name, website and industry.
  • Job descriptions, assessment configuration, evaluation criteria and notes you create in the workspace.
  • Billing records, including the plan or add-on purchased, amount, currency and Razorpay order and payment references. Card, UPI and bank details are collected and processed by Razorpay and are not stored by us.

Candidates

  • Name, email address and the resume or profile information you submit.
  • Answers to screening questions, written assessments and coding exercises.
  • Voice interview audio, the resulting transcript, and the questions asked.
  • Assessment integrity signals, which may include webcam snapshots, screen captures, tab and window focus events, and similar activity recorded during an assessment. Your browser will ask for permission before camera or screen access is used.
  • Scores, evaluations and recommendations generated from the above.

Website visitors

  • Resumes uploaded to the free ATS checker, and an email address if you provide one or purchase additional checks.
  • A one-way hashed form of your IP address, used to apply free usage limits. We do not store the raw IP address for this purpose.
  • Usage and device information collected through cookies and analytics, as described below.

How we use information

  • To create and secure accounts, authenticate users and provide the service.
  • To run the hiring workflow configured by the Customer, including resume screening, assessments, AI voice interviews and evaluation reports.
  • To detect and report assessment integrity signals to the Customer.
  • To process payments, apply purchased plans and credits, and keep financial records.
  • To send service emails, such as account confirmation, payment receipts and assessment invitations.
  • To provide support, respond to requests and communicate about changes to the service.
  • To monitor, maintain and improve the reliability, security and performance of the service.
  • To comply with legal obligations and enforce our Terms of Service.

AI processing and automated evaluation

ScalerHire uses artificial intelligence models to analyse resumes, generate and conduct interview questions, convert speech to and from text, and produce structured evaluations. These outputs are recommendations intended to support the Customer’s decision. Hiring decisions are made by the Customer, and we encourage Customers to review the underlying evidence before acting on any recommendation.

Candidates who have concerns about an evaluation may ask the employer for a human review. We do not use Candidate assessment content to make hiring decisions on our own account.

How we share information

We do not sell personal data. We share it only as described below:

  • With the Customer who invited a Candidate, who can view the Candidate’s application, assessment responses, interview transcript, integrity signals and evaluation.
  • With service providers that process data on our behalf, including cloud hosting, Google (sign-in and website analytics), Razorpay (payments), AI model providers used for analysis and interviews, speech synthesis providers, and our email delivery provider. These providers are permitted to use the data only to provide their services to us.
  • With authorities or other parties where required by law, or where necessary to protect the rights, safety or property of our users, the public or us.
  • With a successor entity in connection with a merger, acquisition or sale of assets, subject to this policy.

Cookies and analytics

We use a small number of cookies and similar technologies:

  • Essential cookies keep you signed in, protect the Google sign-in flow and link a checkout to your browser. These are HttpOnly session cookies and are required for the service to work.
  • Local storage is used to remember interface preferences, such as theme, and to save assessment drafts on your device.
  • Analytics on our marketing website uses Google Analytics to understand how visitors use the site. You can block analytics cookies through your browser settings without affecting the service.

Data retention

We keep Customer account data for as long as the account is active and for a reasonable period afterwards to handle support requests and resolve disputes. Billing records are retained for the period required by applicable tax and accounting laws.

Candidate data is retained for as long as the Customer keeps the relevant job and application in their workspace, or until deletion is requested by the Customer or, where appropriate, by the Candidate. Data may persist in backups for a limited period before it is overwritten.

Security

We use administrative, technical and organisational measures designed to protect personal data, including encrypted connections, access controls, role-based permissions for internal staff, audit logging of administrative actions, and signed session tokens. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please notify us promptly at [email protected] if you believe your account has been compromised.

We are based in India. Some of our service providers, including AI model, hosting and analytics providers, may process data in other countries. Where data is transferred outside India, we take steps to ensure it is handled in accordance with this policy and applicable law.
